Terms and Conditions
Welcome to Waterloo Chess Academy. By enrolling in our programs or purchasing products through our website (waterloochess.ca), you agree to the following terms and conditions. These terms apply to all programs and services offered by Waterloo Chess Academy.
1. General Provisions
1.1 These Terms and Conditions govern your participation in Waterloo Chess Academy programs and your purchase of any chess equipment or materials.
1.2 All payments are in Canadian Dollars (CAD) unless otherwise specified.
1.3 Waterloo Chess Academy reserves the right to modify these terms at any time, and any changes will be effective upon posting to the website.
2. Programs
2.1 Private Classes
Scheduling: Private classes are scheduled at a mutually agreed time between the instructor and the client. Rescheduling requires at least 24 hours’ notice.
Cancellation Policy: Cancellations with less than 24 hours’ notice will result in the session being charged in full.
Payment: Payments must be made in advance to secure the booking.
2.2 Small Group Classes (One-Time Payment)
Registration: Registration is confirmed only upon receipt of full payment.
Refund Policy: Refunds are only provided if the program is canceled by Waterloo Chess Academy. No refunds are issued for missed classes.
Rescheduling: Waterloo Chess Academy reserves the right to reschedule classes if necessary and will provide advance notice to participants.
2.3 Chess Bootcamps (One-Time Payment)
Registration and Payment: Enrollment is confirmed upon full payment.
Refunds: Refunds are available up to 7 days before the start of the bootcamp. After this period, no refunds will be issued.
Missed Sessions: No make-up sessions or refunds are provided for missed classes.
2.4 Chess Bootcamps (Monthly Subscription)
Payment Terms: Monthly payments are billed on the first day of each month. Payments must be made in advance to access the program.
Cancellation: Subscriptions can be canceled at any time with a 30-day written notice. Access to the program ends at the conclusion of the paid billing cycle.
Refunds: No refunds are issued for partial months.
2.5 Chess Programs in Schools and Retirement Homes
Payment Responsibility: Payment is the responsibility of the contracting institution (e.g., school or retirement home).
Program Adjustments: Waterloo Chess Academy reserves the right to modify program content or schedules as needed and will coordinate changes with the institution.
Cancellation: Cancellation of the program requires at least 14 days’ notice. Late cancellations may incur a cancellation fee equivalent to the cost of one session.
3. Sales of Chess Equipment
3.1 Order Fulfillment
All products are subject to availability. In the event an item is out of stock, we will notify you and provide options for a substitute product or a refund.
3.2 Shipping
Shipping costs are calculated at checkout and are the responsibility of the purchaser.
Waterloo Chess Academy is not liable for shipping delays caused by third-party couriers.
3.3 Returns and Refunds
Products can be returned within 14 days of delivery for a refund or exchange, provided they are unused and in original packaging.
Return shipping costs are the responsibility of the purchaser, except in cases of defective or incorrect items.
4. Liability and Waiver
4.1 Waterloo Chess Academy is not liable for any personal injury, loss, or damage to property during participation in our programs or use of purchased equipment.
4.2 Parents or guardians must ensure their children’s behavior is appropriate during programs. Disruptive participants may be removed from the program without a refund.
4.3 Participants in physical settings (e.g., schools or retirement homes) must adhere to the location’s policies and guidelines.
5. Intellectual Property
5.1 All program materials, including lesson plans and homework, are the intellectual property of Waterloo Chess Academy and are provided for personal use only. Redistribution or reproduction without permission is prohibited.
6. Privacy Policy
6.1 Waterloo Chess Academy values your privacy and complies with all applicable Canadian privacy laws. Personal information is used solely for program coordination, communication, and payment processing.
6.2 Waterloo Chess Academy does not share personal information with third parties, except as required by law.
7. Dispute Resolution
7.1 Any disputes arising under these terms shall be resolved in accordance with the laws of the Province of Ontario, Canada.
7.2 Participants agree to first attempt to resolve disputes through good faith negotiation with Waterloo Chess Academy.
